Projektmanagement in NPOs: delivering more with tight budgets and volunteer teams
Plan, run and close projects in associations and NGOs — with methods that fit limited budgets, volunteer teams and funders’ requirements.
Why this seminar matters
Projects in associations and NGOs rarely run under ideal conditions: budgets are tight, teams mix paid staff and volunteers, and funders expect clear plans and reports. Good project management turns commitment into results that last — and into the next successful funding application.
What you will learn
- Structure a project from idea to final report
- Plan time, budget and resources realistically
- Lead mixed teams of staff and volunteers
- Report clearly to funders and stakeholders
The seminar programme
The seminar is built around four modules. Each one combines a short input with practical exercises, so you apply what you learn straight away.
Structure a project from idea to final report
We follow one project through its whole life cycle — idea, objectives, work plan, delivery and close-out — and use simple tools such as a project charter and a work breakdown structure that fit small organisations.
Plan time, budget and resources realistically
You build a timeline with milestones, estimate effort and costs, and link the budget to activities. We look at buffers, cash flow and the typical rules of public and private funders.
Lead mixed teams of staff and volunteers
Roles, responsibilities and motivation are different when part of the team is unpaid. We work on clear agreements, short meeting routines and ways to keep volunteers engaged until the end.
Report clearly to funders and stakeholders
Indicators, documentation and reporting are built in from day one, not added at the end. You practise writing a short progress report and presenting results to a board or funder.
How we work
Each participant brings a real or planned project from their own organisation. Short inputs alternate with work on these projects in small groups, so you leave with a plan you can use the next day.
What you take home
- A one-page project charter for your own project
- A timeline and budget template linked to activities
- A simple role and responsibility overview for mixed teams
- A reporting checklist for funders
Who it is for
Staff and volunteers in NGOs, associations and social enterprises. No prior knowledge is needed — we start from your own questions and cases.

Try this before the seminar
Before your next project starts, write down in three sentences what will be different when it ends. If the team cannot agree on those three sentences, the project is not ready to plan yet.
